Bring This Information To Your Wedding Day-Of Coordinator Interviews

So you’ve decided to hire a Day-of Coordinator! If you can swing it with your budget, this is an excellent decision. You and your family and friends will be able to enjoy the day without worrying about the on-the-ground details. Someone else is in charge of putting out any fires while you’re blissfully unaware that there were any fires at all. Magic!
That means interviewing coordinators – known as our side of the table for first consultations. You’ll have your questions, but sharing these five key pieces of information will help them understand your needs better so they can tell you how they can help. They’re going to ask, so have them ready:
- The number of guests you’re expecting to host. This can determine several other factors, starting with the coordinator’s rate. Guest numbers also affect set-up and break-down times (one table and ten chairs for every ten guests, etc.).
- The times you want your ceremony and reception to start. Be prepared to discuss what you’re telling people about when the ceremony begins, rather than when you’d like it to start.
- When you’re allowed to get in to set up your ceremony and reception, and when you absolutely, positively have to be out of the building(s). Your coordinator is creating a wedding-day timeline and sharing it with your vendors. Timing and space affect them all!
- Guest hotels and Transportation. Where are your guests staying, and how are they getting to your wedding?
- Any vendors you’re still looking for. Let them know who and what is missing, and when you expect to hire them. They might be able to help you find the missing pieces.
